Where do the hours go? The hidden admin costing small businesses

Ask a business owner where their week went and you'll rarely hear "quoting new work" or "talking to customers". You'll hear some version of: chasing, entering, re-typing, reconciling, following up. None of it feels big enough to fix. All of it adds up.

The invisible time sinks

Across the trades, clinics, retailers and professional services firms we talk to, the same five culprits keep showing up:

What the research says

This isn't just anecdote. In Thryv's 2025 small business survey, over half of businesses already using AI reported saving more than 20 hours a month – time they mostly reinvested in winning new customers. Academic reviews of small-business automation projects have found process times cut by up to 40%, with fewer errors along the way. And Microsoft and the Tech Council of Australia estimate AI could add up to $115 billion a year to Australia's economy by 2030, most of it from exactly this kind of routine-task productivity.

Here's the uncomfortable flip side: research also shows the biggest barrier isn't cost or scepticism – it's know-how. Roughly 72% of small businesses that haven't adopted AI say a lack of knowledge about the tools is what's stopping them. Owners know the gains are there. They just don't have a spare fortnight to become technologists.

How to spot work worth automating

You don't need an audit to get started. Run your week through three questions:

  • Is it repetitive? Does the same task happen every day or week, in roughly the same way?
  • Does it follow rules? Could you write the steps down for a new hire in under a page?
  • Does it move information between systems? Email to spreadsheet, form to calendar, invoice to accounting software?

Anything that ticks all three is a candidate. Anything that ticks all three and happens after 6pm should be at the top of the list.
